DIRECT-SALE FUNDRAISING HINTS, TIPS & HOW-TO’S 

Direct-Sale Fund raising is quick and easy and allows your group to purchase the product, with no up-front costs, and sell directly to the consumer; funds are collected at point-of sale. 

Your Group Benefits:

·        FREE Freight!  That’s right…Free Pre-Paid Freight on qualifying stock orders of just 200 rolls of trash bags or more (contiguous U.S. states only).

Pre-Sale

·         Set a start and finish date for your sale and stick to it.

·         Set sales goals for your group and for each selling member.  Come up with a goal that is based on your group needs.  Use our handy Profit Calculator (p. 2) to easily determine your group’s needs.

·         Give yourself plenty of time to organize your sale.  Include your fundraiser on the school or community calendars and newsletters.

·         Allow up to three weeks (in most cases less) production time for delivery of orders.

·         Notify parents of the pick-up date, time and location. 

How Much Product Do We Need?

·         That is dependent upon how much money you need to raise, how many individuals will participate and how long you plan to conduct your sale.  We recommend two weeks to hold your sale (two weekends).  Calculate your needs easily by using our convenient Profit Calculator. 

Will Spectrum Bags Take Back Goods After the Sale?

·         Unopened product may be returned.  However, shipping will be your responsibility.  It is important to calculate your needs carefully and not over-by.  Remember, you can always reorder more if you run out. 

Order Submission

·         Use the convenient Fax/Mail Order Form provided to submit your order to “Spectrum Bags”.  Do not send payment with your order.  We’ll contact you with order total and schedule payment and delivery.

·         Keep a copy of your order form for your records.

·         Allow up to three weeks (in most cases less) production time for delivery of order.

·         Provide Spectrum Bags with delivery instructions (i.e. loading dock available?  Exact unload location at school, lift gate needed, etc.?)  

Delivery

·         When cost effective, orders will be shipped via UPS.  Larger orders may be shipped by truck and palletized.

·         Get parent/faculty to help inventory, organize and pass out items.  Open every case and check for damages/shortages before distributing.  You have 3 days after your delivery in which to notify us about damages/shortages found inside sealed cases.  After this time, shortages/damages will not be replaced.

·         Arrange for parents to come and pick up their student’s purchases.  The product may be too heavy and too difficult to handle for young children.  Allow a 2-hour window for pick-up at school to accommodate work schedules. 

Freight Cost

·         We will pay the freight (to one destination) on orders that meet the requirements for prepaid freight.  The minimum order requirement to qualify for prepaid freight is 200 roll packs of trash bags.  We will use UPS or the carrier of our choice.  Orders under the prepaid freight minimum will be shipped by UPS or the carrier of your choice and billed Prepaid & Add.  For shipments outside the U.S., call for rates. 

Order Damages / Shortages

·         You have 3 days after your delivery in which to notify us about shortages/damages found inside sealed cases.  After this time, shortages/damages will not be replaced.  Open every case and check for damages/shortages before distributing.

Kick-Off

·         Groups should kick-off the Spectrum Trash Bag Fund raiser with lots of excitement and energy!

·         It is also a great idea to come up with incentives during your fundraiser to maintain enthusiasm.  Providing incentive to your sellers will increase your total profit!

·         Briefly explain to the sellers what is planned.  Get them excited about what they are doing.

·         Parent Letter:  A parent letter is a must for any fundraiser.  Don’t rely on the student to accurately relay the details of the fundraising effort.  Send a parent letter detailing:

a.       Product description and pricing.

b.       What program the fund raising project will support.

c.       What the purchasing goals are for the funds raised.

d.       The minimum goal for each seller/student.

e.       Due date for the collected money or un-sold product.

f.         Prize program.

g.       Safety Plan:  Remind students that going door-to-door by yourself or even with someone else can be dangerous.  Consider selling only to friends, neighbors you know, relatives and at public booths.  Children should never approach or talk to strangers, never enter anyone’s house and do not carry large amounts of cash.  Raising funds is important, but only if done safely! 

Incentives

  • It is a great idea to come up with incentives during your fund raiser to maintain enthusiasm.  Prize award programs can be a valuable way to build excitement and boost profits.  You can get many prizes free by simply soliciting local restaurants and retail stores.  Tell them what it’s for and offer to mention their name in the parent letter and on any promotional material.

a)       Group Prizes:

      • Pizza party or a movie for the classroom with the highest sales.

      • Let the group have an activity of their choice instead of the normal schedule.

      • Give your top sellers a shot at throwing a pie in the face of the principal/teachers.

b)       Individual Prizes:

§         For every 10 units sold, a gift certificate for an ice cream cone.

§         Cash for every $100.00 sold.

§         For every 10 units sold, the participant gets their name put in a raffle for various merchandise.  The more they sell the more times they have their name put in the raffle and the more chances they have to win.

c)       Early Bird Prizes:

§         You can offer early bird prizes for the first three people that generate $100.00 in sales by a certain deadline. 

Promote

  • Issue a press release to your local newspaper and radio stations.  They have a FREE community announcement page and service time where they can announce the date, time and location for your booth.

  • Pick a high traffic area in your community and get permission to set up a booth in front of a store. Make your booth flashy and eye-catching with a banner that highlights the goals of your program. Explain to people what your goals are. Put out a donation jar. Many people will throw in an extra dollar or two to add to your profits.

    Seller’s Tips

    • Consider selling only to friends, neighbors you know, relatives and at public booths.

    • Explain to your supporters the purpose of your fundraiser.

    • Be cheerful and courteous.

    • Say, “thank you” whether they buy or not.

    • Do not carry large amounts of cash in your money collection envelope.

    • Turn in collected money by deadline.

    • Have fun!

    • Motivate and keep the sellers interested in what their doing by passing out a small treat.

    Keep Good Records

    • Keep a copy of the original order form, all participants’ names, volunteers and all Spectrum Bags Fund raising correspondence.  If there is a problem, this documentation will be helpful.   

    Payment

    Spectrum Bags realizes that many groups do not have sufficient funds to begin their fund raiser.  This is the reason why your organization is having a fund raiser in the first place.  Therefore, we have created a NO MONEY UP FRONT policy with 3 payment options.

    Option 1:  Pre Pay "Hold For 30 Days"

    Mail us a check (school/company/organization check only) for the total of your order before your order is shipped.  Simply write, “hold for 30-days” in the memo section at the bottom of your check.  Spectrum Bags will not cash your check until the 30 days from your delivery date has expired.  No personal checks please.

    Option 2:  Purchase Order (Available for Schools Only)

    Issue a purchase order form and pay within 30 days of receiving the goods.  Note:  If your department or organization is not financially and legally associated to your school, this option is not available.  The group organizer, principal and the school treasurer must sign the Purchase Order.

    Option 3:  Financing with Credit Card

    You may choose to finance your fund raiser trash bags with Visa, MasterCard, American Express or Discover.  Spectrum Bags will charge your card at the time of your purchase.  This will give you plenty of time (in most cases 30 days) to conduct your fund raiser before having to pay your bill from the credit card company.

    ·         Give yourself plenty of time to organize your sale.  It will take about one week to get your FREE sales material (brochure/sell sheets & money collection envelopes).  Allow two weeks to hold your sale (two weekends), about one week to total and tally your sales (if you choose “bulk pack” order submission) and collect late orders, and two - three weeks to get your trash bags delivered.  That’s six -seven weeks start to finish.

    ·         Include your fund raiser on the school or community calendars and newsletters.   

    Kick-Off

    ·         Be sure to put a Sell Sheet in the teacher’s lounge and main office in your school. 

    Incentives

    ·         Convenient, no hassle “Pick-n-Pack”:  We’ll do the total and tallying and sorting for you!

    o        Once sale ends, collect all money and sell sheets.  Be certain that ALL sell sheets have seller’s name printed legibly on each form.  Simply mail each “original” sell sheet back to us (make a copy for your records).  We’ll total and tally each sell sheet and individually pack each seller’s order.  Each “original” sell sheet will be returned to the Seller with their order.  Once your order arrives, all you have to do is distribute it! There is an additional charge of 3% for pick-n-pack orders.

    o        DO NOT SEND ANY MONEY with your sell sheets.  We’ll calculate your costs and contact you with order total and schedule payment and delivery date before order is shipped. 

    ·          “Bulk Pack”:  Your group totals & tallies each sell sheet & sorts the orders upon delivery.

    o        Once sale ends, collect all money and sell sheets.  Be certain that ALL sell sheets have seller’s name printed legibly on each form.

    o        Total and tally all sell sheets onto the “Total Tally Sheet” provided and submit order by fax or mail to “Spectrum Bags.”

    o        DO NOT SEND ANY MONEY with your order.  We’ll calculate your costs and contact you with order total and delivery date before order is shipped.

    o        Keep the original sell sheets in a safe place.  You will use them later in product distribution.

    ·         Please allow up to 3 weeks (in most cases less) production time for delivery of orders.

    ·         Payment will be required before order is shipped.
